This Eximius BPO Recruiting Privacy Policy (Privacy Policy) describes the privacy and security practices employed by Eximius BPO Services Inc., its subsidiaries, and affiliates (Eximius BPO, we, or us) when collecting, using, and handling (processing) personal information about you in connection with our online and offline recruitment activities. It also explains your options in relation to these processing activities.
Personal information is defined as any information relating to an identified or identifiable individual. Name, address, email address, educational and employment history, CV, and job qualifications, for example. Personal data is also known as information about you.
This Privacy Statement was last updated on November 23, 2022. The Privacy Policy may, however, change over time to comply with legal requirements or to meet our changing business needs. This website contains the most recent version of the Privacy Policy. If there is a significant change that we want to highlight to you, we will notify you in another appropriate manner.

Eximius BPO Service Inc. and its affiliated entities are in charge of processing your personal information in accordance with this Privacy Policy.

As detailed in this Privacy Policy, we process personal information such as your name, address, email address, educational and employment background, CV, and job qualifications.
WHERE DO WE GET YOUR PERSONAL INFORMATION?
We process personal information that you directly provide to us for the following purposes, such as when you register in the Eximius BPO Recruiting Cloud or for a recruiting event, submit a job application, or interview with us. Personal information is also obtained from other sources, such as reference, background, or employment checks, as well as third-party recruitment and assessment sites.
WHAT DO WE DO WITH YOUR PERSONAL INFORMATION AND HOW DO WE USE IT?
We use personal information to respond to your requests or applications; for recruitment and hiring purposes; to enable your use of the Eximius BPO Recruiting Cloud, our recruiting activities, and Eximius BPO products and services, as well as to develop, improve, and secure them; and to comply with applicable laws.

II. SCOPE OF THE PRIVACY POLICY
Eximius BPO processes the personal information of job seekers, potential employees, attendees of recruiting events, and other individuals who have indicated an interest in Eximius BPO (you or your) in connection with:
- The Eximius BPO Recruiting Cloud, the company's career portal; and
- Basic hiring practices of Eximius BPO, carried out both physically and online via the Sites (as defined below).
Please refer to our General Privacy Policy for further details regarding our processing practices related to how you use Eximius BPO websites generally, as well as our use of cookies and other similar technologies outside the purview of this privacy statement.
III. WHO IS RESPONSIBLE FOR PROCESSING YOUR PERSONAL INFORMATION?
Eximius BPO may employ data analytics and algorithms to assist recruiters in sorting through candidate and application data. Algorithms aid in the identification of candidates based on professional qualifications, skills, and experience commensurate with the relevant requisition and help reduce the time it takes to review applications or resumes. The algorithms examine the information and compare it to previous data on successful and unsuccessful candidates. Eximius BPO recruiters always evaluate automated results and never use them as the sole source of information when considering a candidate for employment.

IV. WHICH CATEGORIES OF PERSONAL INFORMATION DO WE PROCESS?
We process personal information that you provide to us directly, such as when you register in the Eximius BPO Recruiting Cloud, submit a job application through the Sites or in connection with a recruiting event, or when we conduct a remote or in-person interview. We may also obtain personal information about you from other sources, such as references, background or employment checks, target companies where Eximius BPO conducts due diligence in connection with a potential acquisition of your employer, and third party sources such as professional headhunters or recruiting firms, data brokers, or, if permitted by applicable law, other sources such as Sites. Sites include, without limitation, social sites where you have created a public page or profile or otherwise granted recruiters access to your information. Eximius BPO may also invite you to participate in assessments, evaluations, or online interviews at vendor sites. Additional privacy terms apply to online video interviews.
Eximius BPO may process the following types of personal information for recruitment purposes, as detailed in Section V of this Privacy Policy:
- Name and Contact Information
- Background in Education
- Employment History
- Job Qualifications and Employment Eligibility, including Nationality, Country of Residence, Visa and Immigration Status
- Jobs in which you have expressed interest or for which you would like to apply
- CV, resume, or transcripts, as well as any supporting documentation, such as copies of certificates and diplomas, attached to your resume
- References from previous employers
- Depending on your location, compensation details such as salary information
- Background check information, such as verification of your educational and professional background, as well as other relevant information, is subject to Eximius BPO policies and applicable laws.
- Data on your personality, competency, ability, and suitability for a position
- Sensitive personal information, as defined in Section XII below
V. WHAT DO WE DO WITH YOUR PERSONAL INFORMATION AND HOW DO WE USE IT?
We use personal information for the following purposes:
- To interact with you and respond to your inquiries or applications
- For the purposes of recruitment, evaluation, background screening, and hiring
- To make the Eximius BPO Recruiting Cloud available to you
- Eximius BPO Recruiting Cloud, our recruiting activities, and Eximius BPO products and services will be analyzed, developed, and improved.
- To keep the Eximius BPO Recruiting Cloud and our sites, systems, and networks secure
- To operate our business in accordance with applicable laws and regulations

To contact you and respond to your requests or applications
We process information about you if you contact us (for example, through Eximius BPO Recruiting Cloud, contact forms on the Sites, contact with our recruiters or at events or via the Sites), so that we can communicate with you about your application or job interests. For example, we may provide you with an update on the status of your application, notify you of new vacancies, or invite you to recruitment activities such as a phone or in-person interview.

For the purposes of recruitment, evaluation, background screening, and hiring
At Eximius BPO, we process information about you in order to match the right candidate with the right job and to determine whether you are qualified for a position. As a result, we may store information about you in our recruitment databases in order to manage the candidate selection and recruiting processes at Eximius BPO. If you are hired by Eximius BPO, information about you will be used to streamline the hiring process. Please be aware that, in order for Eximius BPO to extend you an offer, you may be required to complete a background check in accordance with Eximius BPO policies and local law. Please see Eximius BPO's Background Check Process for more information on this background check and the processing of information about you in connection with a background check. Additional information about our use of background check information about you may be specified in the applicable privacy notices and/or policies of our background check service provider, depending on your region.
Eximius BPO may ask you to take part in assessments to determine your suitability for a position. Eximius BPO may access your assessment and receive results from the Sites when evaluating your suitability for the position.

To make the Eximius BPO Recruiting Cloud available to you,
When you register with us to create an Eximius BPO Recruiting Cloud account, we must process your personal information in order to create and manage your personal account. We will send you your personal login information after you create an account. This personal information allows us to manage your account (such as authenticating your access or changing your password at your request).

Eximius BPO Recruiting Cloud, our recruiting activities, and Eximius BPO products and services will be analyzed, developed, and improved.
Eximius BPO may process information about you in order to analyze, develop, and improve Eximius BPO Recruiting Cloud, our recruiting activities, and Eximius BPO products and services, such as if you encountered any problems while using Eximius BPO Recruiting Cloud or if it is not functioning as expected. We may also use your information to create and test new products, system versions, patches, and updates.

To ensure the Eximius BPO Recruiting Cloud's security
We may use personal information about you to protect the Eximius BPO Recruiting Cloud, as well as our sites, systems, and networks. For example, when investigating suspicious activity on our sites, systems, and networks, we may process information about you.

To operate our business in accordance with applicable laws and regulations
We may process information about you in some cases to comply with applicable laws and regulations, such as legally required reporting or other legal process requests. We may also process information about you in the performance and organization of our business and internal management, such as for audits and investigations, mergers and acquisitions, finance and accounting, archiving and insurance, and dispute resolution.
VI. HOW LONG WILL WE KEEP PERSONAL INFORMATION?
Eximius BPO keeps your personal information for the following periods of time:
- If you, or a recruiter acting on your behalf, create an account in the Eximius BPO Recruiting Cloud, your account information will be kept for as long as your account is active. After five (5) years of inactivity, your account will be considered inactive, and your account information will be deleted.
- Eximius BPO will keep your personal information related to your job application (such as your curriculum vitae/resume or the position you applied for, assessment results) for up to five (5) years from the date you applied.
Eximius BPO may delete your personal information at any time, to the extent permitted or required by law, or as requested by you. As a result, you should keep a copy of any information you send us. In some cases, Eximius BPO may deny your request to delete personal information and retain it for longer than five (5) years in order to comply with applicable law or a legal obligation.
VII. WHEN AND HOW ARE WE ALLOWED TO SHARE YOUR PERSONAL INFORMATION?
Collaboration within Eximius BPO
Because Eximius BPO is a global organization, information about you may be shared across the globe. A list of Eximius BPO entities with whom you can share information about yourself is available here. Please choose a region and a country to view the registered address and contact information for the Eximius BPO entity or entities in that country. Section 9 of this Privacy Policy is also relevant.
Employees of Eximius BPO are only permitted to access personal information to the extent required to serve the applicable purpose(s) and perform their jobs, and they are bound by appropriate confidentiality agreements.
Collaboration with third parties
We share personal information with third parties as described below when necessary.
- Third-party service providers (such as website management, information technology and related infrastructure provision, background or employment check service providers, auditing, and other similar services) to perform business functions on Eximius BPO's behalf.
- In the event of a reorganization, merger, sale, joint venture, assignment, transfer, or other disposition of all or any portion of our business, assets, or stock, relevant third parties will be notified (including in connection with any bankruptcy or similar proceedings).
- When we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to government requests, including public and government authorities outside your country of residence, for national security and/or law enforcement purposes, we will disclose as required by law, such as to comply with a subpoena or other legal process.
VIII. WHAT PROTECTS YOUR PERSONAL INFORMATION?
Eximius BPO has put in place appropriate technical, physical, and organizational safeguards to protect your personal information from accidental or unlawful destruction or loss, damage, alteration, unauthorized disclosure or access, and all other types of unlawful processing (including, but not limited to, unnecessary collection) or further processing.
IX. WHAT ARE YOUR OPTIONS?
You may have certain choices and rights in relation to our use of information about you, depending on your country (or state) of residence, such as the right to access, correct and update, erase or delete, and obtain a copy of your personal information.

In the Eximius BPO Recruiting Cloud, you can erase or delete all or some of your personal information.

Right to access and/or receive a copy of your personal information
You can also obtain a machine-readable copy of some of your personal information in the Eximius BPO Recruiting Cloud.

Object to, limit, or restrict the use of personal information
You have the right to request that we stop using all or some of your personal information.
These options are available to you in accordance with applicable laws, as detailed on our Privacy Choices page, or by completing our inquiry form.
X. EXIMUS BPO COLLECTS CONFIDENTIAL PERSONAL INFORMATION?
Eximius BPO not only values, but also celebrates, diversity and inclusion in the workplace. In accordance with applicable law, Eximius BPO also maintains an equal opportunity program in some countries. Eximius BPO may request and process sensitive personal information related to gender, identity, religious or political affiliation, sexual orientation, age, language, abilities/disabilities, veteran status, race, ethnicity, or other defining characteristics as part of its efforts to create and foster a diverse and inclusive workforce and/or to monitor equal opportunity. During the recruiting process, you may also voluntarily disclose such sensitive personal information to Eximius BPO. Eximius BPO does not require applicants or candidates to disclose this information in connection with a job application or as part of our recruiting efforts unless expressly required by the job advertisement. If you choose to share this information with Eximius BPO, it will not be used in the hiring or selection process, nor will it be used to determine eligibility for any role.
To the extent permitted by applicable law, Eximius BPO may disclose information about your COVID-19 vaccination status, any medical or religious accommodation request, infection status, or test results, and may be subject to additional privacy notices (where required). Furthermore, if you have a disability and want Eximius BPO to consider making accommodations for you, you may disclose or provide that information during the recruiting process.
XI. WHAT ARE YOUR OBLIGATIONS?
You are responsible for the personal information you provide or make available to Eximius BPO, and you must ensure that it is true, accurate, and up to date in all ways. You must ensure that the information provided is not obscene, defamatory, or infringing on the rights of any third party; that it does not contain malicious code; and that it is not otherwise legally actionable. Furthermore, if you provide any personal information about another person, such as individuals you provide as references, you are responsible for providing any notices and obtaining any consents required for Eximius BPO to collect and use that information in accordance with the terms of this Privacy Policy.

XIII. TERMS OF SUPPLEMENTAL RECRUITING PRIVACY POLICY
In addition to the terms you agreed to when you applied on Eximius BPO Recruiting Cloud, you agree to these supplemental terms and the use of your personal information as outlined in these Supplemental Recruiting Privacy Policy Terms (Supplemental Privacy Policy). Regardless of anything in the Eximius BPO Recruiting Privacy Policy (Privacy Policy), when you use a third party site or Eximius BPO provided technology (such as Zoom) to participate in an online video interview, you consent and agree to the use of your personal information as set forth in this Supplemental Privacy Policy; such third party sites or Zoom may maintain their own terms of use and privacy policies for your use of those platforms, for which you are responsible. Capitalized terms that are used but not defined herein have the same meaning as in the Privacy Policy.
Personal information captured in a video recording may include your voice and image. Information obtained about you through online interviews and evaluations may include information about your personality, behavior, and suitability for a specific position. In a video interview, sensitive personal information such as racial or ethnic origin, religion or philosophical beliefs, sexual orientation, trade union membership, political affiliation, physical or mental health or condition, commission or alleged commission of an offense or related proceedings, job evaluations, or educational records may be revealed. Eximius BPO does not require or request that you provide such information during these interviews. Do not apply through this process if you do not agree to your personal information being recorded or used as described in this Supplemental Privacy Policy. If you want Eximius BPO to consider any accommodation, please contact Eximius BPO at hr@eximiusbpo.com. Eximius BPO may offer an accommodation, such as a phone interview, in accordance with the Privacy Policy.
Eximius BPO will keep a copy of the interview in accordance with its retention policies, but will not keep the video for any longer than is required to evaluate a candidate or as otherwise permitted by applicable law. You understand that Eximius BPO does not advance all candidates, and that submitting a video interview does not guarantee a job offer. Eximius BPO reserves the right, in its sole discretion, to make an offer or deny an interview to candidates who submit an interview through this process or who elect an accommodation to interview by phone or, in some cases, in person with an Eximius BPO recruiter. Any candidate who, in Eximius BPO's sole discretion, tampers with a video, shares unlawful or prohibited Content, or violates Eximius BPO's Terms of Use, understands that all Content may be used as specified in the Terms of Use, including providing Content to law enforcement.
